    Receptionist / Administrative Assistant

    This position involves a wide range of administrative duties including front of the office reception management, incoming call operations and meeting room management. The ideal candidate will be professional, well presented with excellent communication skills, and possess a customer service focused demeanor. Candidates should also have previous experience within a similar role and ability to utilize Microsoft Word, Excel and Outlook. This is a full-time position located in Downers Grove, IL.



    • Operate attendant console to answer, screen and forward incoming calls and greet visitors
    • Distribute incoming mail and faxes to mail boxes and prepare outgoing mail and FedEx envelopes
    • Perform administrative support tasks such as making tabs, labels, file folder and hanging files, scanning
    • Perform administrative tasks for the recruiting team including working with the Applicant Tracking System (ATS), formatting resumes and managing applications and forms received as the candidates arrive for interviews.
    • Handle quarterly mass mailings and monthly maintenance invoice mailings
    • Manage conference room schedules for the admin team
    • Set up visitor names on the digital welcome board
    • Miscellaneous administrative projects as assigned


    • 0-2 years office experience
    • Excellent communication skills both written and verbal
    • Excellent organizational skills and attention to detail
    • Intermediate Microsoft Word, Excel & Outlook skills (2013 or 2016 preferred)
    • Advanced typing skills
    • Excellent customer facing skills
    • Professional business casual attire required in position
    • Legally authorized to work in the US without sponsorship
    • Must be currently working in a similar position
    • Must demonstrate a “can-do” attitude
